Information for Interested Exhibitors

The next SSRL and LCLS Annual Users' Meeting will be held at SLAC National Accelerator Laboratory in Menlo Park, California October 7-10, 2014. The plenary session talks will be on THURSDAY, OCTOBER 9th in Kavli Auditorium with live broadcast in the ROB Redwood conference rooms where refreshments, vendor exhibits and registration will be located. (Workshops will be held on October 7, 8 and 10). This annual meeting, which traditionally involves ~300 participants, provides a valuable opportunity for the scientific user community, vendors and other colleagues to interact and discuss the latest science and technology.

 

NOTE:  The SLAC Panofsky Auditorium, visitors' center and cafeteria have closed, and construction is underway for a new Science and User Support Building (SUSB) at SLAC. We will NOT have a tent this year. Instead, the primary hub for registration, exhibits and refreshments will be at the SLAC Building 48 ROB conference rooms and patio.

 

Exhibitor registration is closed but we encourage new exhibitors to contact us early next year to participate in the 2015 Users' Conference. Reminder to 2014 registered exhibitors: 

  • The Exhibit will be held on Thursday, October 9th 9:30 am-5 pm. The Exhibit move-in time is Thursday, October 9th  7-9:30 am. Exhibits officially open on Thursday morning, so exhibitors are encouraged to set up as early as possible. Tear-down is 5 pm, but earlier arrangements after 3:30 pm can also be made.

  • Each exhibiting company will be allotted badges for up to three exhibitors. Exhibitor badges should be worn throughout the meeting. Exhibitor badges confer the same privileges as regular meeting attendees, including admission to all sessions, lunches and reception. Additional persons accompanying the exhibit must register separately as regular meeting participants.

  • Exhibit space is very limited and is assigned on a first come/first served basis (Exhibit fee: $1,100). Each exhibitor will be assigned an exhibit space which consists of a draped table (60" x 30") and two chairs. All exhibit material MUST FIT within this space. Please provide a description of all exhibit materials including dimensions and weight estimates of tabletop exhibits. We expect to be able to provide electrical connections but this has not yet been confirmed. Please indicate in advance if electricity is desired to determine if arrangements can be made; include watt/amps needed and description of equipment or lights needing electricity. If electricity is pre-arranged, please bring any extension cords, power strips, and cables that you may need. Late requests for electricity will NOT be accommodated.

  • Exhibitors are invited and encouraged to participate in the Poster Session and Reception after the exhibits on Thursday, October 9, ~5:15-7:15 pm.

  • If you will be traveling from out of town, see lodging options (the Guest House is fully booked).

  • Exhibits can be shipped in advance and stored for up to 5 days prior to the meeting at no additional charge. Send exhibit materials to:
